A useful automation begins with a repeatable process, understandable information and a clear point for human judgement. Adding AI without those foundations can make an unreliable process harder to inspect.
The work therefore maps the workflow first, identifies where conventional software is sufficient and introduces AI only where its strengths fit the task.
If a conventional integration or rules-based automation is the better solution, the project should use that instead of AI.

A repetitive task may be better handled with a rule, a form change or a direct integration. We first identify the inputs, decisions and exceptions in the current process. AI becomes a candidate only when the task includes variation that simpler methods cannot handle well. This keeps the project tied to a useful workflow instead of making a model the centre of the brief.
A generated answer can be incomplete or wrong, especially when source material changes. We define who checks outputs, how sources are shown and what happens when confidence is low or a tool is unavailable. Sensitive or consequential decisions should not be delegated without explicit safeguards. These review points affect the interface and operating process, so they belong in the first design rather than being added after a prototype.
A demonstration using a few tidy documents does not show how a system behaves with missing fields, unusual requests or conflicting information. We agree example inputs, expected outputs and failure cases before deciding whether a workflow is ready for wider use. Ongoing checks may be needed as content and user behaviour change. A pilot can reveal value or reveal that the proposed automation is not the right investment.
The solution may combine existing platform APIs, webhooks, deterministic rules and an AI service where appropriate. We consider data access, retention, permissions, logging and a manual fallback before connecting live systems. The choice of provider depends on the task and privacy requirements; no particular model is assumed in advance. A bounded workflow is easier to test and maintain than an unrestricted assistant with unclear responsibility.
